About this notice
ROVER Pro respects your privacy. This notice explains how we handle personal information collected through our website, enquiry forms and initial assessment discussions.
If you engage us for consulting services, additional information-handling arrangements may be set out in your engagement documents.
Information we collect
When you contact us, we collect the information you provide. This may include:
- Your name, business name, role and contact details.
- Your country, preferred contact method and availability.
- Information about your vehicles, business activities, approvals and the assistance you need.
- Relevant deadlines, project background and correspondence.
Our website and service providers may also collect technical information, such as your IP address, browser information, pages visited and the date and time of access.
Please provide only the information needed to explain your enquiry. You do not need to submit a complete technical evidence pack at this stage. Please avoid including identity documents, financial details or sensitive personal information unless we specifically request it and agree an appropriate way to provide it.
If you provide another person’s details, please ensure you are authorised to do so.
How we use your information
We use your information to:
- Respond to your enquiry and contact you using your preferred method.
- Understand your requirements and arrange an initial assessment.
- Assess whether ROVER Pro can assist.
- Prepare a proposal describing the recommended assistance, scope and fees.
- Maintain relevant correspondence and business records.
- Operate, protect and improve our website and enquiry process.
You can choose how much background information to provide. Without sufficient contact or project information, we may be unable to respond or prepare a useful proposal.
Submitting an enquiry does not create a consulting engagement. Detailed advice, document reviews and work on your behalf are provided under an agreed engagement.
Follow-up and marketing
We may follow up with you about your enquiry, initial assessment or proposal. You can ask us to stop this follow-up.
Submitting an enquiry does not automatically subscribe you to newsletters or promotional campaigns. Any optional marketing subscription will be presented separately, with a way to unsubscribe.
Storage and service providers
Website enquiries are stored in our website system and sent to our business email account. We use Crazy Domains for website hosting and Microsoft 365 for business email.
Information may also be held in relevant business records and backups. We limit access to people and service providers who need it for the purposes described in this notice.
We may disclose information where required or authorised by law.
Overseas handling and project specialists
Our technology providers may use facilities, personnel or subcontractors outside Australia to deliver, maintain or support their services. Information may therefore be processed or accessed overseas, depending on the provider and service arrangements.
Where your enquiry or project requires assistance from an overseas specialist, or coordination with an overseas manufacturer or business partner, we will discuss the proposed information sharing with you before proceeding. This includes the recipient, their country, the purpose and the information to be shared.
We limit personal information shared for these purposes to what is reasonably necessary and consider the recipient’s confidentiality and information-handling arrangements.
You can contact us for further information about the providers and overseas arrangements relevant to your enquiry or engagement.
Cookies and website analytics
Our website uses cookies and similar technologies for website functions and may use them to understand how visitors use the site.
The public website includes Google analytics tags. Depending on their configuration and your browser settings, these may collect information about your device and website activity.
You can manage cookies through your browser settings. Restricting cookies may affect some website functions.
External websites and social platforms linked from our website have their own privacy practices.
Retention and protection
We retain personal information for as long as reasonably needed to manage your enquiry, any resulting engagement and relevant business, legal or recordkeeping requirements.
When information is no longer needed, we take reasonable steps to delete it or remove identifying details, subject to applicable retention requirements and backup arrangements.
We take reasonable steps to protect personal information against misuse, loss and unauthorised access or disclosure. No internet transmission or storage system can be guaranteed completely secure.
Access, corrections and privacy concerns
You can contact ROVER Pro to request access to personal information we hold about you, ask for a correction, request deletion, or raise a privacy concern.
We may need to confirm your identity before responding. Some information may need to be retained for legal, contractual or legitimate business reasons. If we cannot fulfil a request, we will explain why.
If you have a complaint, please describe what happened, when it occurred and the outcome you are seeking. We will review your concern and respond, including explaining any further information or time needed.
